You make the purchase, return home, and place the new bottle on your shelf—only to realize you already own a nearly identical color from a different brand.
This scenario is a classic symptom of the “ink shelf problem,” where a collection has grown past the point of reliable mental tracking. Without a centralized record of what is currently on your shelf, it is impossible to recall not only the colors you own but the specific performance properties that made a particular ink memorable or frustrating to use.
As developers focused on information design, we view this as a failure of collection management. To sustain a hobby long-term, a collector needs a system that solves the “how do I record this” problem. A truly useful record goes beyond a simple list of names; it captures the technical attributes and inventory status that turn a shelf of bottles into a functional library.
Core ink fields
From a recording and management perspective, an effective ink log should be structured around specific fields that allow for quick reference, filtering, and comparison. Based on the design of modern digital tracking systems, the following fields constitute a robust ink record.

Why properties matter beyond color
In the world of fountain pen inks, two liquids can look virtually identical in a small color chip yet behave very differently once they hit the page. From an organizational standpoint, recording these secondary properties is what transforms a color memory into a usable technical reference.
Visual properties like sheen and shimmer are perhaps the most subjective, but they have the largest impact on the “look” of a written page. Sheen—the metallic sheen that appears when ink pools and dries—can vary from a light halo to a “strong” dominant finish. Shimmer involves physical particles that can settle in a pen’s feed. By recording these, a collector can quickly filter their library for “shimmer” inks when they want a decorative effect or avoid them when using a pen with a very fine, clog-prone feed.
Practical usability properties such as water resistance, drying time, and feathering are even more critical for day-to-day management. If you are recording an observation or a work meeting, knowing that an ink has “fast” drying time or “high” water resistance is more important than knowing it is simply a shade of blue. Recording these properties turns your log into a decision-making tool: you no longer have to guess which ink is best suited for a specific task; the data is already in your record.
A five-stage level instead of a percentage
One of the most common hurdles to maintaining a collection record is the perceived burden of precise measurement. In our design of recording workflows, we have found that attempting to log ink volume as an exact percentage (e.g., “62% remaining”) is often unsustainable for the average collector.
Instead, we recommend a five-stage remaining-level model:
- Full: A new or nearly new bottle.
- Three Quarters: Used but still plenty of volume.
- Half: The midway point; a signal that you are halfway through the bottle.
- Low: The bottle is nearing the end; a refill or replacement should be considered.
- Empty: The bottle is finished, but the record remains for historical reference.
This categorical approach is a realistic way to log levels without needing to measure volume precisely with a syringe. More importantly, this data becomes highly functional when integrated into a management tool. By filtering your collection for inks marked as “low” or “empty,” you can instantly generate a shopping list for your next trip to the stationery store, preventing the frustration of running out of a favorite color unexpectedly.
Setting the color: picker first, photo estimation as a helper
Accuracy in color recording is a frequent point of discussion among collectors. In a professional management system, the primary method for setting an ink’s color should be a color-picker wheel. This allows the user to manually select the most representative hue for their digital record, ensuring that the visual list is organized in a way that makes sense to their eye.
While a photo of a writing sample or a “swab” is a vital part of a record, using a photo to automatically determine a color code is complex. Because lighting conditions, camera sensors, and paper color can all skew the results, photo-based estimation is never presented as fully automatic or perfectly accurate.
