As developers of recording tools, we view this as a failure of “management design”. A forgotten pen is not just a lapse in memory; it often leads to a dried-up feed or an ink that has been sitting far longer than intended, which is usually only discovered by accident when the pen is finally picked up again. From an operational-design perspective, the goal is to move from a “guessing-based” rotation to an “awareness-based” system where the status of every tool is visible and actionable.
How the alert is scheduled
In designing a reliable notification system for stationery management, we prioritized technical reliability and privacy. It is important to clarify that the usage-day alert is not a background app-scanning process. The app does not need to be constantly open or running in the background for the alert to fire, nor does it require a cloud-based server to track your inventory.
Instead, the system utilizes local notifications. At the exact moment a “load” action is recorded manually by the user, a notification is scheduled directly with the device’s operating system. This notification is timed to fire a set number of days later at noon, acting as a discrete reminder that the pen’s current ink load has reached its pre-set milestone.
This action-based architecture ensures that the data stays synchronized with the physical reality of your collection. For instance, recording a “clean” action for a pen or deleting the pen record entirely will automatically cancel any pending notifications associated with that specific instrument. This prevents “phantom notifications” for pens that are no longer in active use.
Choosing an interval: 14, 30, or 60 days
Different writing tools and recording habits require different levels of oversight. In our design, we have provided three standardized intervals to help manage different rotation styles. These intervals serve as milestones for checking the status of a loaded pen.

It is important to note that the interval is a single global setting in the app’s configuration. Rather than managing complex, per-pen settings, a global interval ensures a consistent maintenance cadence across the entire collection, making the habit easier to sustain over time.
Why this is scheduled per action, not on app launch
A common design pitfall in management apps is “launch-based” checking—where the app only scans for overdue items when the user opens it. We specifically avoided this approach for a logical reason: the pens most likely to be forgotten are those in a collection where the app itself is also not being opened regularly.
If a collector stops using their pens and stops opening their tracking app, a launch-based notification would never trigger, rendering the alert useless precisely when it is needed most. By scheduling the notification at the moment of the initial “load” action, we guarantee that the reminder will fire on the specified day regardless of whether the app has been reopened in the interim. This proactive design removes the burden of “remembering to check the tracker” and turns the device into a reliable secondary memory for your hobby.
